Horizon AI is a small Australian firm that builds AI workflows for other small Australian firms - sole practitioners, owner-led practices, family businesses, and teams of 2 to 10 who don't have an in-house ops or IT function and don't want to hire one just to run AI. You bring the workflow that's eating your week; we ship the build that takes it off your plate.

Who we build for

Australian businesses with under 10 staff where the founder, the owner, or the director is still doing admin work themselves at night or on weekends. Accounting firms, legal practices, real estate agencies, mortgage brokers, clinics, recruitment agencies, insurance brokers, professional services firms, training providers and small ecommerce teams - the kind of business where one more billable hour matters and the cost of another hire is a real conversation.

We work remotely from anywhere in Australia. Most engagements never meet in person. The work is delivered, the workflow runs, and your week gets shorter.

What we actually do

We take one process you'd rather not be doing - document chasing, inbox triage, matter intake, BAS prep, support ticket triage - and ship an AI workflow inside the software you already use. Usually live within 1 to 4 weeks of scope sign-off. The build pays for itself in admin time saved within the first quarter for most firms.

Who runs the work

Horizon AI is director-led. The same person who scopes your engagement is on every call through discovery, build and handover. There is no sales rep, no account manager, no "I'll have to check with the team and get back to you." You talk to the person doing the build.

The reason small firms get burned by AI implementers is that scoping gets handed from a salesperson to a junior engineer who never met the client. We deliberately don't run that play. AI workflow scoping is where the wrong question gets you a build that doesn't earn out - and that judgement call doesn't delegate well.

How a build runs - four phases, one page

Every engagement follows Discovery → Scope → Deploy → Expand. The point isn't novelty; it's that AI workflows that skip phases break in production, and ones that stretch each phase overrun the budget you signed up for. We aim to be the most boringly competent build partner you have ever worked with.

  • Discovery (week 0-1): we map the actual current workflow, the software you use, where the data lives, what gets approved by who. No AI yet - just understanding the work.
  • Scope (week 1): pick one narrow workflow, write a one-page scope, quote it in writing, confirm before any code is written. Fixed price; you know the number before you commit.
  • Deploy (weeks 1-4): build, test against real data, document the runbook, hand it over with training. The workflow runs inside your software with audit logging.
  • Expand (week 4+): we run the workflow for 60 to 90 days, measure what it actually saved, then scope the next workflow from real data - not vibes.

The tools we work inside

Frontier AI models: Claude (Anthropic), ChatGPT (OpenAI) and Gemini (Google). Every build picks the right model for the task rather than running one model for everything. For private deployments, OpenClaw and client-owned infrastructure cover sensitive internal workflows.

On the integration side, we work inside the Australian small-firm stack: Microsoft 365, Google Workspace, Outlook, Gmail, Teams, Slack, SharePoint; CRMs like HubSpot, Pipedrive, Salesforce, Zoho CRM; finance tools like Xero, MYOB, Karbon, FYI, Dext, Hubdoc, ApprovalMax; and the 85+ Australian-relevant sector tools listed on our software pages. If your stack isn't here, ask - we probably know it.

What we won't do

We'll turn down work that requires bypassing a platform's terms of service, that pretends AI is doing supervised professional work it's not allowed to do (final legal advice, final medical diagnosis, final tax positions without practitioner review), that fabricates client testimonials, or that knowingly violates Australian Privacy Act obligations.

We'd rather lose an engagement than ship a workflow that breaks in a way that costs you more than it saves. That's not virtue - it's what the work demands when you have to maintain the thing six months later.
